Job Description

Papellerie is a Houston based branding studio established in 2013 that specializes in luxury weddings and social event branding. Our team of 6 Papellerettes work closely with our clients to design and produce fully branded bespoke stationery suites and “day of” items for events all across the world.

We work in a small, casual, open space studio located in the Heights. We enjoy working with our 

network of event planners, vendors, and past clients.

Role Summary

Papellerie is looking for an organized, enthusiastic, resourceful, and self-motivated Production

Coordinator. The Production Coordinator role specializes in managing the production and delivery

of each project from “save-the-dates” and invitations to all other associated branding items and materials. The role includes collaborating with the Papellerie team, clients, and vendors, as well as working independently in a fast-paced environment. This role is a full-time position and the Production Coordinator is expected to be present in the office Monday through Friday during business hours. 

The Production Coordinator must be able to manage complex tasks and projects from production scheduling to file release, assembly and final delivery to client. The ideal candidate will have a “can-do” attitude, excellent organizational and problem-solving skills, an ability to work under pressure and an eye for detail. We are looking for someone with an enthusiastic personality who can check their ego when needed and who values and can contribute to a fun, creative and collaborative working environment.

Primary Job Responsibilities

Project Management

• Develop production timelines and advise designers on key deadlines (e.g. release date)

for all materials related to each project

• Manage multiple projects at various stages of printing, assembly, etc and ensure timely, on-spec

and on budget fulfillment for all deliverables

• Communicate regularly and promptly with and maintain alignment across all stakeholders

(team, vendors, client) throughout production, assembly, mail-out, etc. through to project completion;

may be required to respond to client, vendor, or team communications outside of office hours

• Maintain projects updates on project management system (Trello.com); ownership of production

specific boards

• Serve as facilitator, alongside our Director of Operations, to our social media team, helping pull samples, review posts, etc

Production management

• Obtain price quotes from vendors and develop estimates of production costs

• Oversee timely and on-spec delivery of print and production orders from vendors

(including printers, calligrapher, merchandise suppliers, etc)

• Maintain communication with vendors during production, especially to understand any delays or issues and

agree on solutions; update production timelines as needed and communicate with the team, client, etc.

• Identify production challenges and discuss and agree alternative solutions with clients

• Procure materials for projects including paper, ribbon, boxes, stamps, etc

• Manage inventory of materials including processing package deliveries and shipments; must be able

to lift up to 35 lbs

• Verify vendor deliverables are on spec, including visual inspection such as color check, ink quality, etc

• Manage and maintain relationships with existing production vendors and source new vendors as needed

• Manage client address list, including merging files, making edits, keeping clients on schedule, etc.

• Execute in-house print jobs (e.g. envelopes, small quantity jobs, etc)

• Run miscellaneous errands for production as needed; must have own transportation

• Provide direction to intern for production-related tasks

Assembly management

• Manage assembly, packaging, shipping and/or client mail-out for each project

• Maintain good knowledge of shipping locations/offices, cost structure, and current policies

• Provide quality control of the final product such as color, shapes, print quality, etc.

• Schedule assembly team based on weekly needs

• Provide direction to assembly team for completion of each job

• Manage archiving after mail out or delivery date including samples and such

• Responsible for ongoing cleanliness and organization of assembly, and inventory rooms

• Lead hands on assembly including cutting, creating mock ups, etc

Requirements

• Excellent interpersonal skills and ability to keep stakeholders aligned in the face of challenges

• An obsession with organization and the ability to manage multiple work streams and

cross-functional teams under tight deadlines

• Ability to effectively work with conflicting priorities/deadlines and adapt to changing circumstances

• A team player who can integrate into a tight-knit team requiring a high degree of interaction

and intra-team coordination

• Ability to comfortably and confidently communicate in any and all situations

Qualifications and skills

• Associate’s or Bachelor’s degree (required)

• Comfortable with Excel for developing cost estimates, merging data 

• Familiarity with Adobe Creative Suite, Trello, Google calendar

• Basic project management and/or cost estimating experience
